What’s the most common challenge that contractors face on a day-to-day basis?
One of the largest challenges faced by the smaller contractors on a day-to-day basis is professional business management, answering queries in real time and in a professional manner to the prospects and customers that call them. For the smaller contractor who needs to perform both the labor and be the customer service representative, salesperson, and accounting department all-in-one, this can be a major challenge. In our "give it me now" culture prospects and customers are no longer willing to accept the "I'll call you back when I get to the office" as an appropriate response to a sales or billing question.

Can you provide some examples of reasons why contractors don’t get paid on time?

Luckily for contractors the top 3 reasons they don't get paid on time are completely in their control.
1. Avoid the freebie jobs! Every trade show I speak at I ask the audience, "how many of you find invoices under your seats when you clean out your company vehicles?" and always at least a third of the audience will raise hands with embarrassed and sheepish looks. If the invoice doesn't get to the customer, the payment sure isn't coming in to you!
2. Get invoices to customers in a timely and efficient manner. Many contractors don't keep up with their own office work and it is hard to get paid if you don't get a bill out to a customer in a timely fashion. Customers now are used to get invoices emailed to them quickly, as well as making payments into online systems.
3. The ultimate cash flow solution is to avoid invoicing with terms attached. Many contractors have tackled the cash flow issue by eliminating payment by cash or check altogether and requiring customers to have a credit card on file to pay charges as they are due. I always find it funny that the standard defense for this is that "I don't want to pay the 3% to the credit card company" but when I ask them what their uncollectable debt percentage is, it is always higher. This is before considering what that predictable cash flow means for the contractor themselves as they don't get to put terms to their expenses for delivering the job in many cases. Your employees expect to get paid on time, you deserve the same and accepting credit cards is a great vehicle to accomplish this.

Do you think contractors have a fear of technology or the Internet?

I don't think contractors fear technology or the Internet – rather, it appears to me to be more of lack of confidence to learn. I am always amazed that a person who has the capability to learn the innermost details of building or fixing complex systems or structures lacks the confidence to understand the amount of intellectual horsepower they bring to the table. It is one of the more enjoyable aspects of my job really, seeing a customer sign on for our solution thinking he/she just needs to hand it off to office staff or spouse … and then watch them blossom into a bona fide super-user much to their own surprise. Using the tool to analyze, strategize, plan and grow their business – no MBA required!

What’s the one investment a contractor should make that would have a positive impact on business - today?

Back to business basics 101 : define their business process, examine opportunities for improvement, find a solution that meets the need of that need and implement. There is no magic bullet that is a cookie cutter investment across the board, every contracting company has its own strengths and weaknesses and should act accordingly.

How does seasonality affect contractors business and how can they plan for it better?

Seasonality is a reality, and it brings many challenges for a contracting business without proper planning. Obviously cash flow can be a major issue, especially for those companies that want to keep the talented team of employees they have brought on board. This requires careful planning of all costs that will be incurred and proper nest egging of cash for those projections. One strategy I have seen many contractors incorporate is to diversify services for the slow season, whether that be a new line of business such as installing Christmas decorations or snow removal, or cross-selling services into their current customers with additional add-ons or winter/summer tune-ups.

How can contractors even think about marketing themselves or growing their business when they are challenged with even properly servicing today’s customers?

The best marketing - point blank - is happy customers, so adding more customers to a system that can't handle the current load is not a wise investment. The proper first step is to put systems in place that enable you to properly service the customers you have.

Can you point to any examples of contractors or small service businesses that are doing things ‘right’?

I am constantly amazed at some of the customers I speak to and how they run and analyze their business. My favorite recent story is of this HVAC franchisor who built a mobile office into his truck for each one of his techs. The techs now have the ability to print out detailed and professional looking estimates and invoices right at the customer site while instantly updating the system at the same time. This company no longer has any paper trail to get lost under the seats and his customer satisfaction is skyrocketing at the same time.

What tools and resources should contractors consider to achieve more productivity?

Everything! These business owners should continuously be examining how they can get more efficient and productive - this is their number one responsibility.

Thank you Christopher for taking the time to participate in the interview.

Well-Designed космос: Чего мы можем выучить от гостиниц

Posted: 01 Jun 2010 04:33 AM PDT

When trying to impress upon my siblings and me the importance of tidiness, my grandmother always used to say: "A place for everything and everything in its place." She had neither the financial resources nor the desire for the random accumulation of goods, and the few things she did acquire during her lifetime served distinct purposes. She would have made an astute consultant for the hotel industry, where every aspect of design is considered carefully for its efficiency, orderly appearance, and cost effectiveness.

In this age of mass consumption, it seems that we have lost the ability to edit the spaces we inhabit. I thought a lot about the disintegration of simplistic living during a recent stay at the Mandarin Oriental (MO) in Las Vegas (what better place to do this, right?).

The nature of the business mandates that certain elements are included in the hotel guestroom, a place to sleep and a place to wash being the most basic. But the MO takes extra measures to maximize space and create an oasis of calm in the otherwise frenetic environment of Las Vegas.

Here's what works:

1. Ample storage - I like to unpack my suitcase the moment I arrive at a hotel room, even if I am staying only one night. When my clothes and belongings are strewn all over the place, I feel completely unsettled. Unlike the typical sliding mirrored doors that line guestroom entryways, the MO designates approximately a quarter of the room for the "closet" area. This includes compartmentalized space (six drawers, a full-length closet, above-head storage, an exposed shelf for suitcases, and a valet closet to the outside hallway for discreet deliveries) and ample room for dressing.

At first I thought this was an inefficient use of space, but I quickly realized that it allowed the rest of the room to breathe. At home, customize your closet to maximize your storage capacity and even consider building closets for rooms that don't have them. The absence of clutter will make up for the lost space.
